Choosing email hosting

Section titled “What is business email hosting?”It gives you addresses on your own domain, such as you@yourcompany.ca, instead of a free @gmail.com or @outlook.com address. You control the mailboxes, storage and forwarding, and the address stays yours when staff or providers change.
How is this different from free Gmail or Outlook.com?
Section titled “How is this different from free Gmail or Outlook.com?”Free accounts put another company’s name in your address and are funded by advertising. Sheernox email uses your domain, shows no ads, and comes with a support team you can call.
Should I choose Sheernox, Microsoft 365 or Google Workspace?
Section titled “Should I choose Sheernox, Microsoft 365 or Google Workspace?”Choose Sheernox for reliable email on your domain at one flat price. Choose Microsoft 365 or Google Workspace if your team depends on shared calendars, video meetings or Office documents, which Sheernox email does not include. You can keep your website at Sheernox and point your domain’s mail to Microsoft or Google; see Use Microsoft 365 or Google Workspace email.
Do I need a website to use email hosting?
Section titled “Do I need a website to use email hosting?”No. You only need a domain. Email works without a website, and you can add web hosting to the same domain later.
Mailboxes and apps
Section titled “Mailboxes and apps”What is the difference between a mailbox, a forwarder and a catch-all?
Section titled “What is the difference between a mailbox, a forwarder and a catch-all?”- A mailbox has its own sign-in and storage.
- A forwarder, such as sales@, has no storage and delivers to one or more other addresses. Forwarders are unlimited on every plan.
- A catch-all receives mail sent to any address on your domain that does not exist.

Which apps and devices can I use?
Section titled “Which apps and devices can I use?”Any app that supports IMAP or POP3, including Outlook, Apple Mail, Thunderbird and the built-in mail apps on iPhone and Android. Webmail works in any modern browser. See Set up email in Thunderbird and Outlook and Set up email on iPhone, iPad and Android.
What are my mail server settings?
Section titled “What are my mail server settings?”The server is mail. followed by your domain, for both incoming and outgoing mail, and the username is your full email address. If your control panel shows a different server name for your domain, use that instead. Set up email in Thunderbird and Outlook lists the ports and security settings.
Should I use IMAP or POP3?
Section titled “Should I use IMAP or POP3?”Use IMAP. It keeps mail on the server and in sync on every device. POP3 downloads mail to one device and usually removes it from the server. Both are included on every plan.
Where do I set an out-of-office reply?
Section titled “Where do I set an out-of-office reply?”In the control panel, on the mailbox’s settings page, rather than in webmail. See Set up forwarding and out-of-office replies.
Spam, privacy and sending
Section titled “Spam, privacy and sending”What spam protection is included?
Section titled “What spam protection is included?”Every incoming message is scored on sender reputation, DNS blocklists, SPF and DKIM results and its content, to catch spam and phishing. Likely spam goes to your Spam folder and obvious spam is refused. You can make the filter stricter or more relaxed, and allow or block senders, for each mailbox. Where is my email stored, and who can read it?
Section titled “Where is my email stored, and who can read it?”On servers in Canada. Connections are encrypted with SSL/TLS, Sheernox never shows ads or sells your data, and automated filtering checks mail only to block spam. The Privacy Policy lists the service providers Sheernox uses.
Why is my mail landing in other people’s spam folders?
Section titled “Why is my mail landing in other people’s spam folders?”Usually because your domain is missing SPF, DKIM or DMARC records, which prove your mail really comes from you. See Understand SPF, DKIM and DMARC and Email is not arriving or sending.
Can I send newsletters or bulk email?
Section titled “Can I send newsletters or bulk email?”Sheernox email is built for everyday business mail. Outgoing mail is rate-limited to protect deliverability for every customer, so send marketing lists through a dedicated newsletter service. The Acceptable Use Policy covers bulk and unsolicited email.
Moving your email
Section titled “Moving your email”Can you move my existing email?
Section titled “Can you move my existing email?”Yes. The team copies mailboxes, folders and messages from Gmail, Microsoft 365, cPanel, Plesk or any provider with IMAP access, then helps you switch your MX records at a quiet time so no mail is lost. Migration is free on the Email Business and Email Enterprise plans and on eligible hosting plans; see Is migration free on every plan?
