Organize your mail in webmail

Everything you do here also shows in mail apps connected with IMAP, because they all use the same mailbox.

  1. Open the folder to search, or Inbox.

  2. Type a word, name or address in the search box above the message list and press Enter.

  3. To widen the search, select the arrow at the end of the box. Choose which parts of the message to search (subject, sender, recipients or the whole message), and set the scope to all folders to search the whole mailbox.

Select the X in the search box to clear the search and see the whole folder again.

Select Select above the message list to show checkboxes, or hold Ctrl (Cmd on a Mac) and click messages one by one. Hold Shift and click to select a range. Toolbar actions then apply to every selected message.

Select one or more messages, then Mark in the toolbar:

As read / As unread Change the bold unread state, for example to come back to a message later.
As flagged / As unflagged Add or remove a red flag. Flags show in most mail apps too, often as a star.

Select Options above the message list to choose which column the list is sorted by, the sort order, and whether replies are grouped into conversations (Threads).

  1. Open Settings in the left menu, then Folders.

  2. Select Create marker 1.

  3. Enter a Folder name marker 2.

  4. To put the folder inside another one, choose it under Parent folder marker 3. Leave it as --- for a top-level folder.

  5. Select Save marker 4.

The new folder appears in the folder list under Mail.

To rename a folder, select it in Settings > Folders, change the name and save. To delete one, select it and choose Delete. Deleting a folder also deletes every message in it.

The switch beside each folder marker 5 shows or hides it in the folder list. A hidden folder and its messages are kept; turn the switch back on to see it again.

Drag a message from the list onto a folder. To move several, select them first and drag them together.

You can also select the messages, then More > Move to and pick the folder.

Mail that the spam filter catches is delivered to Spam instead of your inbox. Check it now and then for real mail that was caught by mistake, and move anything real back to Inbox.

Select one or more messages and choose Delete, or press the Delete key. Deleted messages move to Deleted Items, so you can still get them back: open Deleted Items and move the message to another folder.

Deleting a message from Deleted Items removes it for good.

Emptying Spam and Deleted Items from time to time frees up mailbox storage, because messages there still count towards it.

  1. Open the folder, for example Deleted Items.

  2. Select the three-dot menu at the top of the folder list, next to your email address.

  3. Select Empty and confirm.

The bar at the bottom of the folder list shows how much of your mailbox storage is in use. When the mailbox is full, new mail cannot be delivered and senders receive a bounce message. To free up space, empty Deleted Items and Spam, then delete or download old messages with large attachments.
